Privacy Policy
ServiceBill ("we," "us") provides calendar-driven invoicing software for service businesses at servicebill.ai. This policy explains what information we collect, how we use it, and the choices you have. It applies to our website, web application, and crew mobile app.
Information we collect
- Account information. Name, email address, business name, and password or authentication tokens when you create an account.
- Business data you create. Customers, job schedules, crew notes, photos, invoices, line items, and payment status records you enter into ServiceBill.
- QuickBooks Online data. If you connect your QuickBooks Online account, we access your item/service catalog, customer list, and invoice data through Intuit's API, only with your explicit authorization via OAuth. See "How we handle QuickBooks data" below.
- Payment information. Payments are processed by Stripe. We never see or store full card numbers or bank credentials; we store only payment status and references returned by Stripe.
- Usage data. Standard technical logs (IP address, browser type, pages viewed) used for security and to improve the product.
How we handle QuickBooks data
Plain English: we read your QuickBooks items and customers so your invoices use the right prices and account codes, and we write the invoices and payments you approve back to QuickBooks. That's it.
- We access QuickBooks Online data solely to provide ServiceBill's invoicing features: reading your item catalog, customer list, and tax settings, and creating invoices and payment records that you explicitly approve.
- OAuth tokens for your QuickBooks connection are encrypted at rest. You can disconnect QuickBooks at any time in Settings, which revokes our access.
- We do not sell, rent, or share your QuickBooks data with third parties. We do not use it for advertising. We do not use your business data to train machine-learning models.
How we use information
- To provide, maintain, and improve the ServiceBill service
- To send invoices and payment links to your customers on your behalf, using the templates you configure
- To provide customer support and send service-related communications
- To detect and prevent fraud, abuse, and security incidents
Sharing
We share data only with service providers needed to run ServiceBill (hosting, email delivery, payment processing — e.g., Stripe and our cloud infrastructure providers), each bound by confidentiality obligations; with Intuit, when you direct us to sync with QuickBooks Online; or when required by law. We do not sell personal information.
Your customers' information
When a service business uses ServiceBill to bill its customers, that business is the controller of its customer data; we process it on the business's behalf to deliver invoices and collect payments. End customers with questions about their data should contact the business that billed them.
Security
Data is encrypted in transit (TLS) and at rest. Access to production systems is restricted and logged. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices.
Retention and deletion
We retain your data while your account is active. You may request export or deletion of your account data at any time by emailing info@servicebill.ai; we will delete it within 30 days, except records we must keep for legal or accounting compliance.
Children
ServiceBill is a business tool and is not directed to children under 13. We do not knowingly collect information from children.
Changes
We may update this policy and will post the new effective date here. Material changes will be communicated by email or in-app notice.
